University of Louisville Administrative Assistant II in Louisville, Kentucky

Minimum Requirements:Associate's degree and 2 years of related experience or an equivalent combination of education and experience. Grade 2 (Hourly)Position Description:Job Summary The Administrative Assistant II provides support to two departmental unit specialists and one research grants coordinator who support the Chair. Will maintain faculty scholarly activities using specific university software and customized spreadsheets.Essential Duties and Responsibilities Compiles publication and research reports for research grants coordinator using Folio and Excel spreadsheets. Maintain Polk Conference Room and JD Richardson, MD Memorial Library reservation schedules. Transcription by Department Chair and Vice-Chair of letters of support for faculty, residents, fellows and medical students. Provide assistance with all aspects of Grand Rounds Conferences, including, but not limited to, in-person attendance on Friday mornings (to assist with Zoom for virtual participation), working with the speakers to acquire all the required information on his/her presentation, and creating posters and brochures for lectureships and guest speakers throughout the year. Department of Surgery mail distributionOther duties as assigned. Preferred Qualifications Experience working in an academic health care setting.Competencies Organized, detail-oriented, task oriented, ability to work with others, and keeps tasks prioritized.
