Job Summary:

The Sr. Association Administrator is responsible for providing world class administrative support to various Associations across Beaver Creek and Red Sky Ranch, including the Arrowhead Association, Red Sky Ranch Property Owner Association, Bachelor Gulch Village Association, Strawberry Park Owners Associations and Village at Arrowhead. The role is primarily focused on supporting the Associations, Boards and residents across Beaver Creek and Red Sky Ranch. The role requires a highly motivated and resourceful individual with strong learning agility, self-motivation, integrity, and curiosity.

Job Specifications:

  • Expected Pay Range: $22.00 - $33.12 / hour

  • Shift & Schedule Availability:  Full Time, Year Round

  • Skill Level: Intermediate - Advanced

Job Responsibilities:

  • Coordinate and schedule monthly board meetings, coordinate invites, technology and AV.

  • Work with Association Manager and board president to prepare board packets ahead of meetings and draft meeting minutes following meetings.

  • Coordinate and prepare Annual member meetings and Town Halls for associations, including invites, board packets, and technology, AV and meeting minutes.

  • Coordinate website support and material for Associations.

  • STR Licensing - assist homeowners with registration, generate certificates as needed, help to identify properties and approve list of owners to receive notice of noncompliance

  • Renew annual HOA Licenses and submit Periodic Reports

  • Answer general Association questions or direct question to right party, work with legal partners to answer inquiries

  • Respond and compile Requests for Association governing documents, financials, and minutes.

  • Research and respond to requests/questions from Board Members and residents.

  • Review and understand associations governing documents.

  • Update Board and association address lists and status of Board Directors for all Associations.

  • Property transfers - update Salesforce, email buyer info to Public Safety, delete prior owner from Outlook and directory via dashboard of websites. File copy of deed electronically in Real Estate Transfer folder

  • Support annual registration of association vehicles

  • Work with local waste removal provider in each community to coordinate issues or needs.

  • Work with Vendors and Service providers to coordinate estimates, work and payments.

  • Strong learning agility who enjoys and excels in environments where they must tackle and solve new and increasingly complex strategic business challenges and issues.

  • Must be highly proficient in using company’s administrative software for communications, scheduling, document production, presentations, spreadsheets and any other tasks/applications that may become necessary to support the associations. Most heavily utilized software includes: MS Word, Outlook, PowerPoint, Teams, Excel, Coupa, Concur, Planful, Smart Sheets and RPOS/Mtn Money.

  • Possess excellent self-management skills: organization, goal-setting, time-management, self-motivation, self-directing, stress management, reliability, change adaptability and accountability.

  • Demonstrate the desire and passion to learn and develop, particularly showing an ability to lead through influence.

  • Exhibit flexibility, as well as the ability to work under time sensitive deadlines and changing priorities with accuracy, dependability and a positive attitude.

  • Prioritize and manage multiple assignments, assist with other tasks that may be assigned from time to time.

  • Support Resort Operations Sr. Director, leaders and staff with projects, meetings, event coordination and purchases.

Job Requirements:

  • Three or more years of experience in office setting

  • Strong attention to detail and highly organized

  • Detail-oriented and highly organized.

  • Excellent written and verbal communication skills.

  • Demonstrated history of self-development.

  • Advanced computer skills in Microsoft Outlook, Excel and Word.

  • Willingness to learn and develop skills as the department develops and grows.

The expected pay range is $22.00 - $33.12. This is the pay range we reasonably expect to pay for this position. Individual compensation decisions are based on a variety of factors.
